Chapter 9. The Admin Pages

The Transactions Page

Lists Paddle transactions with their Paddle ID, User, Status, Origin, Amount, Adjustments, Discount, Balance and when it was created. Filter by origin, status, adjustment and discount. The page needs the View sales permission, and editing a draft transaction Charge customers.

The list holds the transactions your site knows of: those Paddle sent it webhooks for, and those Sync from Paddle brought in, which include sales other sites made on the same Paddle account. The dashboard's sales figures count the same transactions (see the section called “What the Figures Mean”), so the two agree.

The list is read from your site, newest first, however long it grows: the origin, amounts, discount and creation date are kept with each transaction from Paddle's notifications and from Sync from Paddle. A transaction recorded before they were kept shows them once the page that lists it has been opened (PaddleSubs then asks Paddle for that page's transactions only), or after a sync. Until then its Origin and date show a dash. The amounts are Paddle's payout totals, in the currency Paddle pays you in.

Adjustments shows what Paddle last did to the transaction, where that stands and when, such as Refund · Pending Approval while Paddle reviews a refund, then Approved, Rejected or Reversed, with the date of the last change below it. A refund says whether it is a Full Refund or a Partial Refund: it is full when it reaches the transaction's whole amount, which is also when the transaction's access ends, whichever way it was entered in Paddle. Until PaddleSubs knows the amounts it shows as Refund. An adjustment recorded before PaddleSubs kept its status shows only the action, and one recorded before it kept the date shows none.

The status is Paddle's: Draft and Ready for a checkout that hasn't been paid, Billed for an invoice that has been issued, Paid while Paddle finishes processing, Completed, Canceled and Past Due. The origin says what created it: Web for a checkout, Subscription Recurring for an automatic renewal, Subscription Update and Subscription Charge for changes to a Paddle subscription, Subscription Payment Method Change for a card update, and Api for one created through Paddle's API.

Open a transaction to see its items, its totals and payout (Subtotal, Discount, Tax, Total, Fee, Earnings…), its invoice number and collection mode, and its last adjustment.

Transactions come from Paddle: checkouts, renewals, changes to Paddle subscriptions, and transactions you create in Paddle's dashboard or with New Payment Link or Invoice in the toolbar (see the section called “The New Payment Link or Invoice Page”), which users who can create items see. To give someone access without a purchase, grant it on the Access Subscriptions page.
